    Onboard your team

    Invite agents, set default presets, assign seats, and enforce brand consistency across your brokerage.

    Create your team

    Navigate to Settings → Team and click 'Create Team'. Enter your brokerage name and upload your logo — this gets applied to share links and exported PDFs. Your team is now ready for members.

    Use your official brokerage name exactly as it appears on your license — this name shows up on compliance documents and share links.

    Invite agents

    Add agents by email address. Each agent receives an invitation to create their Lumistate account (or link an existing one). You can invite in bulk by pasting a list of email addresses, one per line.

    Send invitations during a team meeting so you can walk agents through the sign-up process — adoption rates are 3x higher with a live walkthrough.

    Set default presets

    Choose a default preset that all team members start with. This ensures brand consistency — every listing from your brokerage gets the same look and feel. Agents can still choose other presets if allowed.

    Create a custom preset named after your brokerage (e.g., 'Keller Williams Premium') — it reinforces brand identity and makes onboarding smoother.

    Assign seats

    Your plan includes a set number of seats. Assign seats to active agents and manage them as team members come and go. Unused seats can be reassigned at any time. Monitor seat usage from the Team dashboard.

    Start with seats for your top-producing agents — they'll create success stories that convince the rest of the team to adopt the platform.

    Configure permissions

    Set permission levels: 'Agent' can process listings and download, 'Manager' can also view team analytics, 'Admin' can manage seats, presets, and billing. Most teams use Agent + one Admin.

    Give your office manager Admin access — they can handle onboarding new agents without needing to involve you.

    Set brand rules

    Lock specific preset parameters to enforce brand consistency. For example, lock the color temperature to 'warm' and sky replacement to 'on' for all exteriors. Agents can adjust unlocked parameters but can't override locked ones.

    Start with loose rules and tighten gradually — agents resist rigid systems. Lock 2-3 key parameters that matter most for brand consistency.

    Monitor team usage

    Track processing volume, photo quota usage, and quality scores per agent from the Team Analytics dashboard. Identify agents who need training (low usage) or recognition (high quality scores).

    Share monthly usage reports in team meetings — social proof from top-performing agents drives adoption across the entire brokerage.
